Caregiver Assist
Privacy Policy
Caregiver Assist is a trade name of Aleit Digital LLC ("we", "us"), a Washington limited liability company. This policy explains what information Caregiver Assist handles and how we protect it. Questions: admin@aleitdigital.com.
Who uses Caregiver Assist
Caregiver Assist is sold to adult family homes and similar care providers ("providers"). Providers set up the app and decide who on their staff can use it. Residents do not use the app. When a provider is a HIPAA covered entity, we act as its business associate and handle resident information only as our Business Associate Agreement (BAA) with that provider allows.
What we collect
- Provider account information: business name, contact name, email, phone and billing details.
- Staff information: caregiver names, sign-in details, and which entries each person made.
- Resident information entered by the provider and staff: resident profiles (such as diagnoses, care needs, behavior support tier and history), shift checklist answers, behavior and 1:1 support hours, draft progress notes and appointments. This is protected health information (PHI).
- Technical information: device type, app version and error logs, used to keep the app working.
How we use it
Only to provide Caregiver Assist to the provider: drafting progress notes, showing behavior and support-hour summaries, flagging possible health concerns for the provider to review, supporting the provider's records, billing the provider, and answering support requests. AI features analyze the provider's own data to make suggestions to the provider. Suggestions are never presented as a diagnosis.
We do not sell personal information, show ads, or use resident information to train AI models.
Where it is stored and who we share it with
Resident information is stored and processed on Google Workspace and Google Cloud services that are covered by Google's HIPAA Business Associate Agreement. Payment details are handled by Stripe and are never combined with resident information. We share information with other parties only when the provider directs us, when the law requires it, or to protect someone's safety as the law permits.
Who can see resident information
Inside the app, access depends on the person's role. Diagnoses are visible to the provider account only. Caregivers answer shift questions and print notes to sign. Our staff do not view resident information except when the provider asks for help with a specific problem, and then only as the BAA allows.
How long we keep it
Electronic copies of shift notes and shift logs (answers, 1:1 hours, behaviors, bed turns and blood sugar checks) are kept 90 days so the provider can review patterns and prepare paperwork, then deleted automatically. The signed paper note is the provider's official record. Other information, such as resident profiles, is kept while the provider's account is open. When an account closes, we return or destroy resident information as the BAA requires, within 30 days.
Security
Information is encrypted in transit and at rest. Each person signs in with their own account, each provider's data is kept separate, and access is limited by role. If a breach of unsecured PHI happens, we notify the provider as HIPAA and the BAA require.
Residents' rights
Residents and their representatives who want to see, correct or get a copy of their records should contact their care provider. We help providers respond to those requests.
Children
Caregiver Assist is for adults working in care settings. It is not meant for children under 18.
Changes
If we make important changes to this policy, we tell providers by email before they take effect.
